For fleet operators

Car Rental Reservation System
for Your Own Fleet

A reservation system for your own fleet, synced with Turo so nothing ever double-books. Renters book and pay on your site; you see every car in one calendar.

Trusted by operators running fleets of up to 200+ vehicles.

The problem

Running Reservations
on a Spreadsheet Doesn't Scale.

Five cars on Turo and a few direct customers from referrals is manageable. Fifteen cars across Turo, a phone line and a group chat is where it breaks. The same Tuesday gets promised twice, a deposit never gets collected, and nobody can say which car is free, which is out and which is in the shop without scrolling three apps. A spreadsheet records what you remember to type in. A car rental reservation system records every booking the moment it happens.

  • A car booked on Turo and again by text
  • A phone log standing in for a calendar
  • No single view of what is out, free or in maintenance
  • Deposits and agreements chased by hand

Features

What a Car Rental Reservation System Needs to Do for Your Fleet

Good car rental reservation software takes the booking, protects the car and tells you where every vehicle stands. These six jobs are the booking core of our car rental software built for independent fleets.

Your own booking website

A booking site on your domain and brand, with online payment, deposits, security holds and e-signature. You edit cars, rates and content yourself after launch. Built on our car rental website builder.

Two-way Turo calendar sync

A car listed on Turo and on your site never double-books. Keep Turo listings earning alongside a direct channel built from customers you find outside Turo.

Fleet and reservations dashboard

Reservations, availability blocks, maintenance, vehicle status and daily tasks in one view. It is the same dashboard behind our car rental management software.

Agreements and ID checks

Digital rental agreements with ID verification, damage waivers and liability terms built in, signed before the keys change hands.

Manual booking entry

Phone and walk-up bookings go in from the dashboard and land in the same calendar as everything else, Turo block included.

Utilisation reporting

Utilisation, idle time and revenue per vehicle, so you can see which cars earn their spot and which sit.

How It Works

How It Works

Here is how a car rental reservation system moves one booking from the first click to the car coming back.

Renter booking a car on a branded rental booking site on a phone, with live availability and deposit shown at checkout
  1. A renter books, or your team enters it

Renters pick dates on your branded site, see live availability, pay and are confirmed immediately, with no request for you to approve. Renters get flexible pickup and return times, priced by the day. Phone and walk-up bookings go in from the dashboard.

  2. The car is blocked everywhere

The reservation blocks that car everywhere it is listed, Turo included, through two-way calendar sync. Nobody else can book those dates.

  3. Deposit, ID and signature before pickup

The security deposit or hold, ID verification and the e-signed agreement are done before pickup. Payment runs through Stripe on major credit and debit cards.

  4. Track the car to its return

The dashboard follows the car from pickup to return and feeds utilisation and revenue-per-vehicle reporting, so next month's rates come from real numbers.

Who it is for

Built for Where You're Starting From

No minimum fleet size; most operators run 10 or more cars.

Turo hosts going private

Your Turo listings keep earning while a direct channel brings in customers you find outside Turo: your own site, Google, referrals and local partners. The sync keeps both channels from double-booking. Turo's terms of service bar taking Turo-found guests off the platform, so Turo customers stay on Turo. Live in 5 to 7 business days. See the setup for Turo hosts going private.

Independent rental operators

You run a lot on spreadsheets and phone calls. A car rental booking system puts online bookings, phone entries and agreements in one calendar. Done for you in 7 to 10 business days. See the setup for independent rental operators.

More than one location

Run multiple rental locations or branches under one account, with every car and booking in the same dashboard. Each rental is picked up and returned at the same location.

Proof

Real Fleets, Real Reservations

Operators running from 10 cars to 200+ manage their fleets on Zilarent. Here is what a full calendar looks like in gross bookings, Turo and direct combined, starting with an ordinary fleet.

The realistic average: a 65-car Hawaii operator

A busy fleet managed on Zilarent fills its calendar with about $2,100 in gross bookings per car per month. This operator prices low on purpose to run near 100% utilisation.

Gross bookings, 30 daysabout $137,000
Cars in the fleet65
Gross bookings per car per monthabout $2,100

Gross bookings, before the costs of running the car (financing, insurance, cleaning, maintenance, processing). Not profit. Other Zilarent operators' 30-day gross bookings ranged from about $6,000 to $106,000.

The ceiling: our founder's premium and luxury fleet

Zilarent's founder runs an approx. 20-car premium and luxury fleet in Hawaii (Porsche and Corvette class) that runs on Zilarent and takes direct bookings alongside Turo. About 90% of its bookings arrive in a one-hour morning window.

Typical 30 days, whole fleetabout $50,000
Typical month, per carabout $2,500
Peak season, per car per monthclose to $5,000

Gross bookings from a premium and luxury fleet, before the costs of running the cars. An economy fleet will not reach these numbers.

“Finally, I have my own brand and direct customer relationships. The Turo sync means I never worry about double bookings.”

FAQ

Car Rental Reservation System: Common Questions

What operators ask before moving their bookings.

Does this rental car booking software work if I'm still active on Turo?

Yes. Two-way calendar sync means a car listed on Turo and on your own site never double-books, so most operators keep their Turo listings earning while their own site, Google and referrals bring in direct customers found outside Turo.

Can I still take bookings over the phone, not just online?

Yes. The dashboard includes manual booking entry, so a phone or walk-up reservation goes into the same calendar as every online booking and blocks that car on Turo the same way.

How does the system handle deposits and the rental agreement?

Every booking collects a security deposit or hold, ID verification and an e-signed digital rental agreement with damage waivers and liability terms, before the renter ever picks up the car.

What does a car rental reservation system like this cost?

$299 a month, waived once your Zilarent bookings pass $1M over the past 12 months, plus a 6% booking fee (5% above that mark) and a one-time setup fee quoted on your demo call. See full pricing for how the fee works.

How fast can I get a reservation system live?

Turo hosts are typically live in 5 to 7 business days. Independent operators coming off spreadsheets take 7 to 10 business days. Either way, a dedicated team does the setup for you.

Do I need commercial insurance to start taking reservations privately?

Turo-booked trips stay under Turo's own protection plans, so your direct rentals need their own coverage. Zilarent has relationships with insurance companies that cover car rental businesses and makes free introductions in every US state. Confirm your policy with a licensed provider.
